The City of Pittsfield's Office of the City Clerk is looking for a detail-oriented and community-focused professional to serve as our Assistant Clerk of Registrations and Elections. In this vital role, you’ll help ensure the accuracy of voter registration, maintain essential city records, and support fair and efficient elections. RESPONSIBILITIES

  • Processes absentee ballot applications and absentee ballots; Certify signatures on nomination papers and petitions for State and Local officials.
  • Prepares voter lists and street lists; Prepares and maintains annual census information; Coordinates volunteers to assist with the opening and sorting of census records; Tests and examines working order of voting machines.
  • Assists in the preparation of conducting elections; Holds voter registration sessions; prepares voters' lists; provides information to voters and election workers; Updates post-election voter information.
  • Distributes voter information to candidates and the public as needed.
  • Helps and assists to resolve customer/constituent issues and complaints.
  • Performs office procedures required by statute for annual census, voter registration, and election procedures.
  • Provides assistance to other positions within the City Clerk's office
  • Delegates and supervises work performed by the Head Clerk.  
  • Performs other similar and related duties as needed or required by the City Clerk.

QUALIFICATIONS

  • High School diploma or equivalent required; Associate’s degree highly desirable.
  • Three – Five years of related municipal experience; previous supervisory experience preferred.
  • Candidates with an equivalent combination of education, training, and experience that provides the necessary knowledge, skills, and abilities to perform the job will be considered.
  • Requires broad knowledge of federal and state laws that govern municipal administration, elections, voter registration, and records management.
  • Proficiency in the use of computers and office software, including Microsoft Office applications; familiarity with other office equipment, machines, and internet applications.

  • Possess excellent interpersonal skills; ability to engage with the public and colleagues with confidence and professionalism, even in high-pressure situations.
  • Self-motivated, adaptable, and able to work both independently and collaboratively in a fast-paced environment.

WORKING CONDITIONS

This is an office-based job in a dynamic municipal building with normal to heavy foot traffic.  While performing the duties of the Assistant Clerk, the incumbent is required to: interact and communicate frequently with the public, government officials, other staff members and boards, and/or third parties transacting business with the City; the position requires good vision to prepare reports and good hearing for telephone and in-person communication.

PHYSICAL REQUIREMENTS

The incumbent is required to operate standard office equipment including computers and keyboards at efficient speed; and move throughout the municipal office/building. Incumbent may also be required to lift/move/push/pull/operate other objects such as cases and bags of ballots, and other machines and equipment unique to the role of Assistant Clerk or the Department. Lifts/moves objects weighing up to 70 pounds.

HOURS

Monday – Friday, 8:30AM – 4:00PM

35 Hours per week

Occasionally evening and weekend work may be required during election seasons.


SALARY

Starting rate $24.44 - $25.93 per hour

Annual increases up to $31.89 Per Hour
