Under the direction of the Director of Public Initiatives & Real Estate, the Manager of Real Estate & Leasing provides oversight and management of operations and special projects in the Real Estate department as outlined below.

The Manager of Real Estate & Leasing will work with the Director of Public Initiatives and Real Estate to enhance, modernize, and manage MASS MoCA’s leasing campus with a high degree of efficiency and vision. This work is embedded in MASS MoCA’s 2024-2030 Strategic Plan, specifically the pillars of “Contribute to Place” and “Modernize for Durability”.  In addition to the internal system and project and relationship management duties, the Manager of Real Estate & Leasing is a front-facing position, including but not limited to point-of-contact interactions with tenants (current and prospective), vendors, and contractors. The role requires tact, patience, exemplary outwardly directed customer service, excellent internal interdepartmental relations, consensus-building prowess, and professional communication that represents the values of the institution.  The Manager of Real Estate & Leasing is adaptable and able to shift priorities in real time as needed and/or directed. The ideal candidate is a self-starter who is able to align daily operational needs with long-view institutional strategic priorities. Proactive and clear communication is expected and essential.

This position requires the ability to make high-level, strategic decisions regarding real estate and leasing operations, including negotiating complex contracts and managing critical business relationships, which involve a managerial and confidential nature, as well as access to sensitive financial, operational, and strategic information.

Key Responsibilities include but are not exclusive to:

Creative Campus Development

  • Oversee project timelines, budgets, and deliverables to ensure timely and within-budget completion relating to multi-phase strategic and physical redevelopment of MASS MoCA’s Creative Campus.
  • Assist the Director of Public Initiatives and Real Estate in development of new business for the leasing campus, including identifying prospective tenants, marketing available spaces, maintenance of associated records, etc.
  • Support and implementation of existing and new campus-wide initiatives, in alignment with strategic and operational priorities.
  • Coordination with local and regional business community to identify new opportunities and solidify connections between MASS MoCA campus and adjacent centers of commercial activity.
  • Grant and funding identification, tracking, reporting, and writing, including interactions with various local economic development partners.
  • Provide other departmental administrative support as necessary, including budgeting.

Campus Property Management

  • Tenant relationship management:
    • Responsible for overseeing tenant relationships, which includes serving as the primary point of contact for both existing and new tenants in all matters relevant to their campus leasing experience.
      • Represent MASS MoCA to all current and prospective leasing tenants with clarity, consistency, and fairness through all written and verbal communications at all times.
    • Managing communications with tenants on matters regarding leases, maintenance requests, improvement projects, campus events, and other miscellaneous needs in a proactive, agile, and articulate manner that reflects the values of MASS MoCA and advances the collegiality of our desired campus community. 
    • Ongoing oversight of the campus rent roll, including tracking of all lease terms, renewal, notice, end dates, and all other information relevant to lease agreements.
  • Lease origination:
    • Support Director of Public Initiatives and Real Estate in drafting new and renewal lease agreements, preparing exhibits, drafting amendments, and any other transactional lease documents.
    • Prepare finalized lease agreements for signature.
    • Coordination with City of North Adams for planning and scheduling of MASS MoCA Commission meetings as needed.
      • In close collaboration with the Director of Public Initiatives and Real Estate, determine strategy to maximize use of MASS MoCA Commission meetings, develop plans, and work with City to maintain consistent cadence for same.
  • Management of maintenance, refurbishment, or upgrades of leased and common areas:
    • In close coordination with the Director of Public Initiatives and Real Estate, Director of Facilities and Campus Planning, and Buildings & Grounds team, manage any projects connected with commercial leasing spaces. This includes Tenant Improvement build outs at lease commencement, improvement requests during lease term, periodic maintenance requests, common area improvements and refreshes, and refurbishments of leasing spaces after lease term ends in order to prepare properties for relisting.
    • Provide clear periodic status updates to leasing tenants for any projects occurring within their leased premises or that will impact their on-campus experience.
  • Development of maintenance plans in coordination with B&G team.
  • Collection of rent and other fees, including written follow-up for any late payments, clear record keeping, and coordination with Finance team to maintain accurate rent roll and projections.
  • Financial reporting and other budgeting related to the commercial leasing properties.
  • Document management:
    • Maintain accurate records of all lease documents and related materials.
    • Manage online tenant management system and ensure all files are kept up to date.

Other Properties

  • Actively manage the developing inventory of MASS MoCA off-campus properties, including various residential properties. 
    • Develop, refine, and maintain strong booking and scheduling systems to ensure maximal utilization of properties.
    • Work closely with Buildings & Grounds team to identify and address maintenance and improvement needs of properties.
    • Maintain accurate records of property use and associated budgets.

Experience: 

5+ years of a combination of experience in property and/or project management, with a strong background in community building, communications, customer service, or related fields. 

Skills:

  • Proven ability to manage complex projects, including scheduling, budgeting, and coordination.
  • Strong written and verbal communication skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Demonstrated ability to build and maintain effective relationships with multiple internal and external stakeholder groups.
  • Highly proficient in administrative tasks, organization, and property management tools.
  • Ability to execute duties with a high degree of confidentiality.

Education: Bachelor’s degree or equivalent experience required, with an interest in nonprofit or arts management a plus.

Minimum starting salary is $62,000.
