The Town of Dalton seeks a part-time Recording Secretary, to record meeting minutes for approximately 5-8 weekday meetings per month. These meetings start between 4:00PM-7:00PM, so it is important to have the availability during these times. This position performs responsible services, ensuring that accurate minutes of meetings are taken and approved. This position is paid up to $57.01 per set of minutes submitted.

Purpose:
Performs responsible services ensuring that accurate minutes of meetings are taken and approved. Performs all other related work as required.

Essential Functions:

Attends various Board, Committee or Commission meetings of the Town.

Listens to oral dictation by attending meetings or from a tape-recorded meeting.

Compiles materials, applications, records, reports, memos, etc., to summarize and prepare draft minutes of meetings from notes or tapes.

Prepares unofficial minutes promptly, including attachments from items distributed at the meeting.

Prepares official minutes once approved and maintains posting of legal minutes on the Town website once approved.

Performs similar or related work as required, directed or as situation dictates.

 

Recommended Minimum Qualifications:

High School diploma or equivalent; computer experience; or any equivalent combination of education and experience.

Knowledge:  Knowledge of Microsoft Office, operations of Town government and basic office operations and practices.

Abilities:  Ability to communicate effectively. Ability to operate standard office equipment. Ability to work independently. Ability to exercise patience and flexibility.

Skills:  Excellent organizational skills. Excellent written and verbal communication skills. Proficient computer skills in the use of Microsoft Office. Skill in dealing with the public tactfully ad effectively.

Regularly required to walk, stand, sit, talk, and hear, operate objects, tools, or controls, pick up paper, files, and other common office objects. Ability to view computer screens and work with details for extended periods of time. May move objects weighing up to 10 pounds. Must be able to communicate. Vision and hearing at or correctable to normal ranges.

Job Environment:

  • Work is performed under typical office conditions; the noise level is moderate at times. Regular schedule requires attendance at evening meetings and additional time is required to prepare for meetings and transcribe minutes.
  • Operates computer, telephone, and other standard office equipment.
  • Employee has regular contact with the general public, town employees and officials. Contacts are primarily in person, by email phone and Zoom.
  • Has access to some confidential information during Executive Sessions.
  • Errors could result in delays or loss of service.
