Great Barrington Dental Practice seeks an Appointment Coordinator for their busy front office.

The Appointment Coordinator is the face and voice of the office, greeting patients as they walk in the front door. They coordinate, integrate, and represent all facets of patient services from the first phone call through continuing care compliance. They manage the daily, weekly, and monthly schedule to meet the practice’s production, efficiency, and collection goals. 

Appointment Coordinators will:

  • Strive to have every time slot for the doctor and hygiene filled, fill late cancellation or no-shows with quick-call patients.
  • Utilize an effective courtesy call system that reinforces commitment to the appointment times.
  • Adhere to the guidelines laid out in ideal schedule templates.
  • Maintain all computer records to the highest standard.
  • Prepare for morning huddle.
  • Utilize excellent verbal skills to convey the practice’s philosophy statement to patients that call our
    office.
  • Maintain control of the schedule, while at the same time giving patients appropriate options and
    communicating a genuine concern for them.
  • Coordinate with the clinical team for a seamless delivery.
  • Effectively maintain a continuing care pre-appointing system that inspires patients to schedule and
    show-up for their appropriate hygiene intervals.
  • Be prepared to collect any monies due according to financial arrangements and practice policy.
  • Write or call patients that made a special impact on the office, thanking them for being our patient, and asking for referrals. 
  • Actively participate in all social media strategies that reinforce the brand and marketing strategies of the practice.
  • Additional responsibilities may be required, as needed.

Candidates must have good computer skills and prior customer service experience.
