Williams College is excited to announce an opening for the position of Academic Administrative Assistant in the Computer Science Department. As the Academic Administrative Assistant, you will be instrumental in facilitating a dynamic academic environment, supporting faculty, staff, and students through a wide range of administrative and organizational responsibilities that are vital for the department's smooth functioning and continued growth. You will play a critical role in ensuring the department's financial health and operational efficiency, directly contributing to its academic mission and the broader success of the college by supporting the day-to-day operations of the department.

Responsibilities:

Responsibilities include but are not limited to:
  • Be the first point-of-contact via phone, email, or in-person for a variety of constituents within the department
  • Monitor and manage departmental budgets and expenditures
  • Organize travel and arrangements for guest speakers and events
  • Assist with department events, including booking rooms for meetings and ordering food when needed, and staff occasional evening events
  • Manage departmental communications, including email, website, and social media
  • Assist in staff and faculty hiring (e.g. arranging advertisements for position, organize campus visits by candidates), manage the employment of student teaching assistants
  • Assist department chair in various administrative tasks and maintain records
  • Submit course offerings, organize classroom assignments and course evaluations
  • Prepare class material for distribution


Qualifications
  • Associate's Degree plus at least 2 years relevant experience required, or equivalent combination of education and experience in administrative roles
  • Excellent organizational skills with an ability to prioritize, organize, and execute multiple tasks independently
  • Excellent oral and written communication skills, including email correspondence and proofreading
  • Ability to maintain confidentiality in regards to personnel and student information
  • Proficiency with or an ability to learn technology, including but not limited to web content management, databases, and Wordpress
  • Knowledge of and experience with spreadsheets, bookkeeping, Google and Microsoft Suites
  • Strong interpersonal skills; the ability to work collaboratively with broadly diverse groups of students, faculty and staff in a courteous and professional manner


Hybrid on-site/remote work arrangements may be available for employees based in MA, NY, CT, or VT, following a fully in-person onboarding period. Remote work for up to 1 day per week is possible at select times outside the academic calendar year with approval, and is subject to review and revision as policy evolves.

This is a 35 hours per week, 12-month, fully benefitted position reporting to the chair of the Computer Science Department. Pay range is from $25 to $27.50 per hour, commensurate with experience.
