Williams College is seeking an Administrative Coordinator to support the work of the Center for Global Languages, Literatures and Cultures (CGLLC), the Department of Romance Languages, and the Department of German and Russian. This position provides administrative and logistical support to enhance the academic, linguistic, and intercultural missions of these departments, with an emphasis on student and faculty support. In addition to providing ongoing support to the Chairs of the two academic departments, working for example on course packets, job searches, and reappointment/tenure decisions, the Administrative Coordinator also works closely with the Director of the CGLLC on event planning, manages the Language Resource Center, and supports signature programs of the CGLLC, including the Self-Instructional Languages Program (SILP) and the Teaching Associates/Language Fellows. This position reports to the Director of the CGLLC, the Chair of Romance Languages, and the Chair of German and Russian, with the Director of the CGLLC as the reporting supervisor.

Responsibilities:

Center for Global Languages, Literatures, and Cultures:
  • Organize logistics of CGLLC events, including faculty colloquia, welcome receptions, graduation ceremonies, and International Education Week
  • Assist with the Teaching Associate/Language Fellow program: event support, processing financials, booking travel, coordinating move in/move out of houses
  • Coordinate administrative components of the Self-Instructional Languages Program: schedule courses, hire undergraduate tutors, process payments (mid and end/semester) for instructors
  • Manage the Language Resource Center: hire and supervise a team of 10-12 student workers, book reservation requests, coordinate events in the LRC, and liaise with campus partners
  • Oversee CGLLC communications, including social media and websites


Departments of Romance Languages and German/Russian:
  • Keep regular track of the budget, consult with Chair for allocation of funds and annual budget submission in December
  • Approve/submit reimbursements and other budgetary requests via Workday
  • Help with onboarding of new and visiting faculty
  • Publicize fellowship opportunities, cultural events, and language tables
  • Take care of paperwork for job searches as well as reappointment and tenure processes
  • Provide logistical support for invited speakers and other departmental events


General Administration:
  • Supervise 1-2 student workers who provide administrative support to departments
  • Manage the operations of the second floor copy room and kitchenette in Hollander Hall
  • Coordinate and oversee the day-to-day management of supplies, equipment, space reservations and facilities for the departments


Qualifications:
  • Associate's Degree plus at least 2 years relevant experience required, or equivalent combination of education and experience
  • Familiarity with Google Suite, or similar software, and social media
  • Customer service experience and interaction with faculty, staff, and students from diverse backgrounds strongly preferred
  • Experience with multicultural and multilingual environments strongly preferred
