Opening Details

Williams College is excited to announce the opening for an Administrative Assistant in the Political Science Department and Leadership Studies Program. Under the limited supervision of the department and program chairs, this role will perform a wide range of administrative and technical duties, online and in person, to ensure the effective and efficient operation of a fast-paced and large academic department. Access to information pertaining to students, faculty and new hire searches demands that this position requires a high level of confidentiality. This role is also the first point-of-contact for faculty, staff, students, and other stakeholders in the Political Science Department.

Hybrid on-site/remote work arrangements may be available up to 1 day per week outside of the academic calendar with approval for employees based in NY, MA, CT, or VT; subject to review and revision as policy evolves.

Responsibilities

The responsibilities of this position include, but are not limited to:
  • Be the first point-of-contact via phone, email, or in-person for a variety of constituents within the department.
  • Assist with department events, including booking rooms for meetings and ordering food when needed, and staff occasional evening events.
  • Maintain confidential materials used in faculty evaluations and the preparation of materials for reports to the DOF and CAP.
  • Assist in compiling the annual departmental budget. Process and follow up on purchase orders, invoices, vouchers, transfers and reimbursements.
  • Assist the Department Chair with recruiting activities by maintaining application files via Interfolio, coordinating advertising, and communicating with applicants.
  • Assist in organization of course catalog and class hour materials.
  • Organize and maintain the physical and online office filing system pertaining to job applications, course material, student files, and faculty personnel files.
  • Prepare class material for distribution. Coordinate the preparation of course packets and handouts throughout the year to be charged back to students.

Qualifications
  • Associate's Degree plus at least 2 years relevant experience required, or equivalent combination of education and experience
  • Knowledge of and experience with spreadsheets, databases, word processing software, various email programs and web content management.
  • Display good judgment in handling student records and confidential department information.
  • Ability to communicate effectively and empathetically, providing excellent customer service to a diverse population of students, faculty and staff
  • Exceptional organizational and time management skills.
