You will provide administrative support to the Family Support department and be the face of UCP for all visitors to the North Adams office. This role reports to the Senior Administrative Assistant. By supporting our program staff in administrative duties, you will help individuals with disabilities meet their goal to be more independent in their families and communities.

Administrative Assistant Responsibilities

  • Greet and direct visitors following safety protocols.
  • Enter weekly data into Excel reports for the Family Support/MRC departments utilizing weekly tracking logs
  • Answer multi-line telephone and transfer calls appropriately
  • Assist in keeping the reception area clean and clutter-free and all pamphlets and other materials are up to date.
  • Update White Board for current events. 
  • Maintain meeting room schedule.
  • Prepare materials for programming and participate in scheduling, registration, set up and clean up for programs as requested.
  • Make copies, material packets, send faxes, laminate materials, create mailings and assist with any special projects upon request.
  • Distribute mail.

Administrative Assistant Requirements

  • High School Diploma or equivalent
  • Up to one year of administrative paid work or volunteer experience preferred
  • Proficiency in Office 365 (Excel, MS Office Word, PowerPoint, and Forms) and have the ability to learn new software
  • Must possess excellent typing and data entry skills
  • English language reading, writing and comprehension skills
  • Spanish bilingual desirable
  • Be able to work in an office setting (North Adams, MA)
  • Customer service & telephone skills 
  • Detail oriented and organized
  • Ability to understand the importance of and ensure confidentiality, privacy, and professionalism in all interactions
  • A valid driver’s license, proof of insurance and the availability of a private vehicle.
  • Acceptable CORI/SORI background check
