JOB DESCRIPTION
The City Clerk’s office is the official record keeper for the City of North Adams. Its mission is to maintain and protect these records dating back to the late 1700s in the best possible manner. Additionally, the City Clerk’s office will serve the public by providing information in an efficient and timely manner. The Full-Time Senior Clerk’s position will include but is not limited to, providing service to the public, answering phones, processing and issuing Vital Records, issuing licenses and permits, ensuring that records are organized and preserved, and assisting in the election and census preparation, mailings, processing, and filing.
NOTE: This position is an appointment by the Mayor. The responsibilities and duties listed below are illustrations of the various types of work performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.
JOB RESPONSIBILITIES:
- Assist the City Clerk and Assistant City Clerk with the daily operations of the office, clerical duties, and professional customer service.
- Assist with answering of phones and directing calls to appropriate department(s).
- Issues of Vital Record certificates (Birth, Death, Marriage & Certified Cemetery Deeds) as well as the accurately creating, recording, and storing of these archival copies of these
- Issues various licenses and permits (Business, Bowling Alley, Dog, Fuel, Pool, Raffle, etc.) collects fees, and maintains current & historical
- The maintenance and preservation of files and
- Posting of meetings, meeting materials & legal notices in accordance with Open Meeting laws, as well as the proper posting of
- Assist in Annual Census processing, mailing, and filing.
- Assist in election preparation, coverage, mailing, and filing.
- Assist with the processing of Voter Registration applications/Voter registration changes, Early Voter Card/Application requests, and Absentee Voter applications.
- Assist the public with questions and/or concerns.
