Role Overview

The Operations Coordinator ensures the smooth operation of Berkshire Art Center through oversight of memberships, student registration, budgets, and communications. This role requires a strong blend of administrative, marketing, and customer service skills, as well as a passion for fostering a welcoming and inclusive experience for students and members.

Key Responsibilities

Membership & Student Registration

  • Manage sales processes for memberships, classes, events, and materials, ensuring seamless registration and payment experiences.
  • Develop and implement strategies to grow memberships and class participation.
  • Track and report on sales metrics to support data-driven decisions.

Budget Oversight

  • Monitor and manage budgets for memberships, classes, and other revenue streams, including grant-funded projects.
  • Assist with grant reporting and compliance.
  • Identify opportunities for cost savings and revenue generation.

Communications & Marketing

  • Create and schedule engaging social media content to promote classes, memberships, and events.
  • Maintain and update the organization’s website to ensure accuracy and appeal.
  • Oversee phone system, mailings, and other communication tools.
  • Design and implement marketing campaigns, flyers, and e-blasts to enhance visibility.

Student Care

  • Provide exceptional customer service, addressing inquiries, resolving issues, and fostering positive relationships.
  • Ensure students have the resources they need to succeed in their memberships and classes.
  • Gather feedback to improve the student experience.

Additional Revenue Streams

  • Manage sales for merchandise, event tickets, and other revenue opportunities.

Requirements

Experience:

  • Proven experience in operations, arts administration, communications, or a related field.
  • Proficiency in social media management, website maintenance, and digital marketing tools.
  • Familiarity with budgeting and grant oversight.

Skills:

  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Experience with platforms such as Squarespace, Airtable, Excel, and Canva.

Education:

  • Background in arts, arts administration, education, or community-focused organizations.
  • A bachelor’s degree in arts administration is preferred.

Additional Requirements:

  • Passion for supporting students and fostering a welcoming, inclusive environment.
  • Ability and license to drive, as the position involves movement between sites.
