The department develops communication strategies and produces multimedia marketing materials for Admissions recruitment, fundraising, alumni, and other campus clients. Reporting to the Art Director, the Project Manager (PM) is an integral member of the Communications team-interacting with designers, developers, researchers, content writers and campus partners to keep projects efficient and on track. The PM works directly with "clients" and other college stakeholders, serving as the point of contact from project intake through delivery, and to help define project goals, align scope, and ensure a successful and collaborative outcome. This multifaceted position requires the ability to understand the complex audiences of a liberal arts college (including potential and current students and their families, faculty, staff, and alumni) and develop strategies for communicating effectively with these diverse audiences. The PM will play a strategic role by supporting and guiding the team through projects of all sizes as they help craft both the high-level and small details that make Communications' projects unique.

The Project Manager (PM) is the nucleus of the Communications team-interacting with designers, developers, researchers, content writers and campus partners to keep projects efficient and on track. The PM works directly with "clients" and other college stakeholders to help define project goals and align scope. The PM will play a strategic role by supporting and guiding the team through projects of all sizes as they help craft both the high-level and small details that make Communications' projects unique.

The successful candidate will demonstrate flexibility, innovation and an interest in continued professional growth and learning; evidence of successful project management; and the ability to establish strong, positive relationships with all campus community members. The high volume and broad scope of work associated with this position also require a person who can manage multiple project priorities.

Primary responsibilities include:
  • Serves as primary intake manager for college communications projects. Plan, run, prioritize and support the launch of projects.
  • Builds strong relationships with and serves as primary contact for clients and serves as primary contact to ensure that their needs and goals are met.
  • Completes detailed briefs and clarifies specific requirements of each project.
  • Works with the team to build the product roadmap and strategy. Delegates project tasks to appropriate College Communications staff members, ensuring that projects are properly and efficiently staffed.
  • Adeptly forecasts resources needed and potential risks and develops plans to mitigate.
  • Reviews creative/production materials, copy, layouts, and production art, and coordinates client approval.
  • Solicits and reviews estimates and quotes from external vendors and freelancers; communicates with outside vendors to assure quality and maintain deadlines. Researches new vendors when appropriate.
  • Work with the Creative team to manage and maintain visual resources such as a digital photo library and Williams Brand Assets. Fulfill requests from campus partners.
  • Stays apprised of progress of client projects through communication with internal staff and external vendors.
  • Other duties as assigned


Essential skill/Qualifications:
  • Bachelor's degree plus a minimum of 2 years of professional experience managing projects, or equivalent combination of education and experience.
  • Ability to both motivate and track progress across numerous projects, deliverables, and timelines to deliver the best possible solution to organizational needs on time, on budget, and of the highest quality.
  • Ability to work both independently and collaboratively.
  • Strong decision-making skills
  • Ability to juggle multiple projects and work successfully with a diverse range of talents and personalities.
  • Ability to work under tight deadlines with calm, tact, and professionalism.
  • Demonstrated commitment to client satisfaction.
  • Strong organizational and communications skills
  • Awareness/Understanding of latest technology, principles, and approaches: Adobe Creative Suite, style guides, web design, social media platforms, and accessibility (VR/AR, AI a nice to have)
  • Comfortable setting clear boundaries, liaising and negotiating with the team, executive decision makers, contractors, vendors, and clients
  • Experienced with project management tools such as Wrike, Asana or Basecamp.


Application review will begin on August 20, 2024, and will continue until the position is filled. Pay range is $65,000 to 75,000 per year, commensurate with experience. All applications will be read by the search committee.
