The Grant Coordinator works under the Senior Director of Grants and Philanthropyto provide post-award coordination and support.  Works closely with finance staff, as well as program staff across the organization, to track and report on all CHP grant-funded activities.  Manages complex information and works on multiple projects simultaneously to ensure compliance with all grant requirements.  This person will support CHP’s mission, vision, and values and will adhere to compliance protocols as well as CHP’s policies and procedures.

 

Grant Coordinator Essential Duties and Responsibilities:

  • Coordinate with the Senior Director of Grants and Philanthropy, and work with other staff and administrators to obtain necessary information for grant reports. Work closely with finance staff to gather information, track fund disbursement, and to prepare and submit financial reports.
  • Comply with all grant reporting as required by foundation, corporate, and government awards. Interpret regulations, grant agreement, and contract guidelines. Assist in developing outlines, timelines, and templates for grant reporting according to funding guidelines.
  • Write, organize, and edit grant reports including program and financial activities. Complete and submit mid-year, progress reports, final reports, and other required paperwork.
  • Monitor grant funded projects and their budgets to ensure compliance with grant specifications and financial policies and procedures. Assist with compliance monitoring throughout the grant cycle. Establish systems for compliance tracking for new grant funded programs.
  • Maintain master calendar for all post-award grant activity, to include submitted proposals and grant requests, progress reports, and closeouts. Maintain current records in database, paper, and electronic files, including grant tracking and reporting.
  • Enter and maintain all grants data and revenues in database, and coordinate monthly reconciliations of all gift and grant payments between Finance and Grants and Philanthropy to ensure accuracy among systems.
  • Coordinate with program staff to track program activities and expenditures, prepare regular reconciliations and reports, assess potential non-compliance and budget issues. Make recommendations for corrections and adjustments accordingly. Assist program staff in understanding and managing grant funded activities and expenditures in accordance with funder guidelines.
  • Possess ability to collect, track, and compile financial information for grants. Work closely with finance staff to track and record expenses, payroll, invoices, and other financial documentation. Work with a high level of accuracy and proficiency in Excel.
  • Collect data, synthesize and organize large amounts of information, manage multiple and complex projects simultaneously. Prioritize tasks, manage multiple projects, efficiently mangage time on tasks with or without deadlines. Turn work around within a short time span, work to tight deadlines, think proactively, and respond quickly in response to changing conditions.
  • Acquire and maintain solid knowledge of Community Health Programs, healthcare, and FQHCs, and use that knowledge and understanding to support ongoing grant portfolio development.
  • Comply with all federal, state, and organizational procurement and compliance policies.
  • Other duties as assigned.

  • Possess project management skills, attention to detail, and high level of accuracy. Communicate effectivelly and professionally in writing and orally. Possess strong editing skills, excellent spelling and grammar, attention to detail, and ability to meet deadlines.

2-3 years experience.  Baccalaureate Degree a plus.  A combination of experience and education will be considered.
