Webinar Coordinator 

Position Description: 

The Webinar Coordinator serves as the company’s point person for its standalone webinar program. The incumbent is responsible for identifying, vetting, and recruiting subject matter experts, learning photonics technology, reviewing published news, and managing the calendar of webinars for Photonics Media. Must be able to develop industry relationships to ensure top quality and complete reporting. Must keep up with industry trends in the digital world. Must be able to work satisfactorily with minimal supervision under tight time constraints.

Duties and Responsibilities

Essential Job Functions:

  • Develop and manage a calendar of webinar presentations that will expand viewers’ knowledge and skills in photonics.
  • Identify, vet, recruit, and schedule subject matter experts to gather worthy webinar topics.
  • Develop and write webinar descriptions while working with subject matter experts and marketing teams.
  • Work closely with the other members of the webinar team to ensure the successful marketing of all webinars.
  • Provide feedback to presenters by reviewing presentation materials.
  • Organize and provide training to presenters upon completion of webinar rehearsals.
  • Moderate webinar rehearsals and live webinars.
  • Continually update webinar guidelines and protocols for conducting successful webinars as needed.
  • Increase the number of webinars offered per year and, by strengthening webinar offerings, ultimately increase the number of participants who attend webinars.
  • Help develop and maintain other content sections of the website and prominent social media platforms. This includes writing and posting blogs, podcasts, videos, etc.; researching, writing, and posting updated information and associated photos of industry events.
  • Keep up to date on current social media trends and best practices.
  • Collect, maintain, and regularly record data in a CRM (customer relationship management) software system.
  • Assist the Conference Coordinator as needed and serve as backup for webinar recordings.
  • Work on special projects as assigned.
  • Attend meetings as assigned.

 Other Job Functions:

  • Miscellaneous: email correspondence with general editorial inquiries, picture processing, and other duties as assigned.
  • Assist with other duties and projects as assigned.

 Job Requirements:

  • Degree in Journalism or Marketing, or related field; science background and proven writing skills are a plus.
  • Experience facilitating webinars.
  • Experience in writing and editing.
  • Some familiarity with photo editing software such as Canva and Adobe Creative Suite.
  • Excellent verbal and written communication skills; strong interpersonal skills.
  • Ability to edit and proofread with attention to detail.
  • Strong critical thinking and quality control analysis skills.
  • Excellent organizational and time management skills.
  • Ability to work on multiple projects in various stages to meet overlapping deadlines.
  • Ability to work independently and as part of a team.
  • Commitment to the company’s culture and quality service standards.
  • Ability to effectively utilize all general office equipment, answer the telephone, and professionally interact with clients, other employees, supervisors, and the company's senior management. 
  • Prolonged periods of sitting. Prolonged periods of computer/keyboard use.
