Front Office Assistant (part-time, 18 Flexible hours a week as part of a full-time job-share)

We're looking for an outgoing, friendly, and detail-oriented individual to serve as the first point of contact for the Federation. The Front Office Assistant is a vital team member in supporting multiple departments by performing various administrative and project-based functions.

 Responsibilities:

  • Perform a variety of administrative tasks, including answering phones and emails, filing, preparing correspondence, and interacting with visitors and volunteers.
  • Manage annual processing of camp scholarships and grant funding to outside organizations with the support of the Executive director.
  • Set up weekly programming as Facebook events, share in social media posts to community-based Facebook groups, and submit to online event calendars.
  • Provide weekly program support for the Director of Community Engagement and Programming, as well as staff support at larger community-wide events,
  • Maintain and update the website content, including reviewing and accepting submissions to the online community calendar.
  • Oversee common areas of the office and facilitate maintenance as needed
  • Provide support for special projects and events as needed.
  • Manage mail and email merges through Microsoft Word and Excel. 

Qualifications Required

  • Associate’s degree or equivalent experience.
  • 3+ years of experience in a professional support capacity
  • Excellent writing and interpersonal skills. Ability to communicate with a diverse clientele. 
  • Excellent organization and attention to detail.
  • Proven ability to work independently and as a team player in a collaborative environment. 
  • Ability to manage multiple tasks and be flexible, resourceful, and organized
  • Strong computer skills, including Microsoft Word and Excel. 
  • Knowledge of Constant Contact, Canva (or other graphics programs) experience a plus.
  • Understanding social media and the ability to use social media, especially Facebook and Instagram.
  • Comfortable learning new programs and technologies.
