The City of Pittsfield’s Department of Finance is seeking a qualified candidate for the full-time position of Head Clerk. This position provides administrative and technical assistance to the Assistant Treasurer as required. The Head Clerk must be able to perform highly responsible, confidential, and complex administrative & clerical duties.

RESPONSIBILITIES

  • Process payroll disbursements and state and federal withholding taxes; file quarterly reports for state and federal government.
  • Process and disburse salary/payroll employee verifications from financial institutions, community organizations, etc.
  • Set up and disburse purchase orders for supplies and maintenance contracts; process vouchers for payment of invoices.
  • Provides assistance to the Assistant Treasurer in the managing of tax title properties; including payments and tax lien redemptions.
  • Receive and verify weekly departmental deposits.
  • Answer phone calls and in-person inquires.
  • Prepares routine memos, correspondence, reports, and other related documents.
  • Provides assistance as back up to other departmental staff in their absence; including payroll.
  • Performs other duties as required or assigned.

QUALIFICATIONS

  • High school diploma or equivalent.
  • Specialized training and/or experience in accounting/bookkeeping/finance.
  • Demonstrates excellent interpersonal skills.
  • Demonstrates exceptional follow-through of duties as assigned.
  • Ability to handle difficult assignments for making decisions, accept responsibility and work without constant supervision, and perform administrative duties independently.
  • Strong computer and internet skills, including Microsoft Office suite (Excel, Word, etc.).
  • Strong working knowledge of MUNIS preferred.
  • Ability to interact with people on an up-beat and friendly basis, regardless of circumstances

WORKING CONDITIONS

This is an office-based job in a dynamic municipal building.  While performing the duties of the Head Clerk, the incumbent is required to: interact and communicate frequently with the public, government officials, other staff members and boards, and/or third parties transacting business with the City.

PHYSICAL REQUIREMENTS

Operates standard office equipment including computers and keyboards, at efficient speed; and move throughout the municipal office. Lifts/moves objects weighing up to 10 pounds.

HOURS

Monday – Friday, 35 Hours per week


SALARY

Starting rate $17.02 - $17.97

Annual increases up to $21.73
