JOB TITLE:  Main Office Clerical Substitute (Williamstown Elementary)

REPORTS TO:  Principal

POSITION TYPE: On-Call / Per Diem Substitute

Position Overview

Williamstown Elementary School is seeking a dependable, flexible, and professional Elementary Main Office Clerical Substitute to provide coverage during planned and unplanned absences of main office administrative staff.

This position plays a vital role in maintaining the smooth, efficient operation of the school's main office. The ideal candidate will serve as a welcoming first point of contact for students, parents, staff, and community members while performing general office support and administrative tasks.

Essential Duties & Responsibilities

When called for coverage, the Main Office Clerical Substitute will perform key tasks across office functions, including but not limited to:

  • Reception & Customer Service: Screen, greet, and assist parents, students, visitors, and staff in a polite and professional manner. Direct guests according to building security protocols and issue visitor badges as required.
  • Communications & Telephones: Answer incoming calls, route messages efficiently, answer general inquiries, and handle incoming/outgoing mail.
  • Clerical Support: Type, file, copy, fax, scan materials, and assist in maintaining general office, student, or 504 documentation. Compose or proofread basic office notices, daily memos, and correspondence as directed.
  • Student & Attendance Tracking: Assist with student sign-ins/sign-outs, daily attendance entry, and maintaining records in student information systems (PowerSchool).
  • Student Supervision: Provide a supportive, calm environment for students waiting in the main office for parents, medical checks, or disciplinary reasons.
  • Logistics & Inventory Support: Assist with receiving and sorting daily deliveries, distributing classroom materials, and scheduling field trip transportation as needed.
  • Office Operations: Help maintain an organized office space and perform basic troubleshooting for minor office equipment issues (copiers, printers, scanners).

Qualifications & Requirements

  • Education: High School Diploma or GED required; Associate degree or higher preferred.
  • Experience: Previous office, secretarial, or administrative experience preferred. 1–3 years of related administrative experience is desirable. Experience working in a school setting or with young children is highly valued.
  • Technical Proficiency: Strong computer skills, including experience with Google Apps (Docs, Sheets, Mail) and Microsoft Office. Familiarity with student information databases (e.g., PowerSchool) is a plus.
  • Interpersonal & Communication Skills: Excellent oral and written communication skills. Demonstrated ability to build positive working relationships with students, parents, staff, and the community while maintaining strict confidentiality.
  • Key Attributes: High degree of patience, strong organizational skills, ability to multitask in a busy environment, and common-sense problem-solving skills.

Working Conditions & Physical Requirements

  • Fast-paced elementary school office environment with frequent interruptions.
  • Must be able to operate standard office machinery (computers, phones, copiers, fax).
  • Successful completion of a background check (CORI/Fingerprinting) is required prior to employment.

COMPENSATION: Hourly rate commensurate with the education and relevant experience of the successful applicant ranging from $16 to $22 per hour.
