Rental Housing Programs Administrative Assistant
Pittsfield, MA | Full-Time | $42,000–$47,000

We’re looking for a reliable, organized Administrative Assistant to support a busy Rental Housing Programs team. This role is a mix of admin support, customer service, and landlord coordination—you’ll be the go-to person helping keep things running smoothly day to day.

What You’ll Be Doing

Day-to-Day Admin Support

  • Handle scheduling, emails, mail, and general office coordination
  • Keep program files organized (both paper and digital)
  • Enter and maintain data in internal systems
  • Help prepare reports, spreadsheets, and documentation for audits or reviews

Landlord & Property Owner Support

  • Act as the main point of contact for landlords and property owners
  • Answer questions about program participation and housing contracts
  • Help schedule property inspections and track results
  • Maintain landlord contact lists and send out updates or notices
  • Assist with meetings, outreach, and general communication

Participant Support & Compliance

  • Assist program participants with basic questions and direct more complex issues appropriately
  • Help with annual paperwork, recertifications, and rent requests
  • Support documentation for hearings or appeals when needed
  • Handle sensitive information with confidentiality and care

Customer Service

  • Respond to a high volume of calls and emails in a professional, timely way
  • Clearly explain program basics and next steps
  • Connect people with the right internal team or outside resources when needed
What We’re Looking For
  • Strong organization and attention to detail
  • Comfortable using Word, Excel, and basic computer systems
  • Clear communication skills—both written and verbal
  • Ability to stay patient and professional with a wide range of people
  • Able to follow processes and make routine decisions confidently
Qualifications
  • High school diploma or GED required
  • Associate’s degree is a plus
  • Prior admin or human services experience helpful, but not required
Work Environment
  • Office-based role
  • Primarily desk/computer work with occasional light lifting (up to 10 lbs)
