General Description

Screens calls for medical staff members, schedules client appointments, manages medical charts and related information. 

Essential Job Functions

  • Adheres to all applicable state and federal regulations; ensures compliance with the organization’s policies and procedures, code of conduct, and all applicable regulatory requirements.
  • Screens incoming phone calls for medical staff members and ensures prompt attention to any message left for medical staff members to ensure return phone calls are made on the same day received.
  • Schedules medical staff member appointments, meetings, and time off.
  • Ensures accuracy of next day’s schedule (i.e. remove double-bookings).
  • Provides daily reminder calls and sets up Teams meeting links where applicable.
  • Follows up on the outcome of call reminders, reschedules clients promptly, and accurately updates the client’s file with the alternate outcome.
  • Executes daily Massachusetts Awareness Prescription Assessment Tool (MassPat) reports and distributes to medical staff.
  • Tracks client no-shows and issues discharge letters according to the organization’s policies.
  • Ensures Health Care Proxy forms are completed.
  • Aids nursing in completion of prior authorization documents, as needed.
  • Obtains lab results for urine and oral toxicology screens.
  • Procures both urine and oral swap toxicology screen collections in the absence of lab staff, as needed.
  • Logs and tracks internal and external psychiatry referrals. Collaborates with medical staff members and clients with referrals to other agencies for additional support services, when appropriate.
  • Faxes records upon request.
  • Serves as point of contact for insurance companies, when applicable, to secure any necessary authorization related to paperwork.
  • Establishes clients with non-emergency transportation (PT1) access and scheduling rides, when appropriate.
  • Ensures room preparedness. Organizes, restocks, and sanitizes supplies after each patient.
  • Responds to general medication questions from patient and renewals and refers more complex issues to nursing.
  • Prepares pertinent client refill request information and distributes to appropriate nurse. 
  • Prepares paperwork and letters (i.e. administrative paperwork, school excuse forms).
  • Monitors vitals per request of medical staff member.

Qualifications, Experience and Education

High School or General Equivalency Diploma (GED).

  • Medical Assistant certification preferred OR one of the following:
    • 3-5 years of proven office experience in a medical or clinical setting.
    • Medical office administrative assistant certification or related field with 1-2 years of proven office experience.
