Description:
JOB SUMMARY:
The Administrative Assistant provides administrative support to ensure efficient operation of the office and responsible areas. Supports managers, employees, customers and vendors through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material.

ESSENTIAL JOB FUNCTIONS:
• Answer incoming phone calls and update phone log accordingly
• Assist, as needed, greeting visitors and completing check-in process
• Sort and distribute the incoming mail
• Prepare outgoing mail
• Compose and type routine correspondence
• Organize and maintain file system, file correspondence and other records
• Schedule, setup, cleanup and restock for customer luncheons
• Ensure accurate inventory and report counts of supplies in upstairs conference room
• Manage Lenco ProShop
o Assist customers and answer questions related to ProShop merchandise
o Keep and report inventory counts
o Restock area as needed
o Maintain Shop in a professional and orderly fashion
o Prepare employee merchandise for distribution
• Review invoices for appropriate documentation and approval prior to payment
• Add vendor codes to invoices
• Maintain files and documents thoroughly and accurately, in accordance with company policy and accepted accounting practices
• Maintain sales and use tax spreadsheet
• Create and maintain asset and prepaid insurance spreadsheets
• Coordinate and work on other projects as required
• Performs other administrative duties as needed

ADDITIONAL JOB FUNCTIONS:
• Adhere to and carry out existing work practices, procedures and policies
• Maintain confidentiality and observe data protection and associated guidelines
• Understand and comply with safety and environmental policies
• Other duties as assigned

INTERACTION WITH:
• Purchasing Department as it pertains to accounts payable follow up
• Vendors and customers
Requirements:
EXPERIENCE:
• Minimum of three (3) years related experience and/or training or equivalent combination of education and experience

EDUCATION:
• Associates degree in accounting required

KNOWLEDGE, SKILLS & ABILITIES:
• Working knowledge of Sage Pro or enterprise accounting software
• Proficient in Microsoft Word, Excel, PowerPoint and Teams
• Excellent inter-personal skills
• Attention to detail
• Ability to effectively present information and respond to questions from managers, customers and vendors

PHYSICAL DEMANDS:
• Must be able to pass physical exam
• Ability to lift a maximum of 30 lbs.
• Extended periods of sitting, some bending, kneeling and squatting
• Good Vision with or without corrective lenses
• Good hearing
• Perform some repetitive motion activities
• Sit for prolonged periods
