POSITION SUMMARY

The City of North Adams is seeking a highly organized administrative assistant to support the Department of Public Safety. This is a part-time 20 hour per week position with potential to evolve into full-time. The Administrative Assistant works under the direction of the Public Safety Business Manager and assists in the daily clerical operations of the Public Safety Department.

PRIMARY DUTIES

  • Responds to a variety of public inquiries, requests, and issues related to the Police and Fire Department operations and activities via telephone, email, and in person.
  • Answer telephone and provide caller with requested information, or forward call to appropriate personnel.
  • Processes outside detail payroll and bills vendors for reimbursement of funds.
  • Properly enters all invoices for the Public Safety Department into the system for payment.
  • Enters all receipts into the system for turnover to the Treasurer’s Office
  • Produces a variety of routine departmental correspondence (e.g. letters, memoranda, reports, forms, etc.), and photocopies, distributes and files as appropriate.
  • Responsible for scheduling repairs of office equipment and ordering of supplies.
  • Manages collections of unpaid invoices.
  • Performs other similar and related duties as assigned

EXPERIENCE AND QUALIFICATIONS 

  • High school diploma or equivalent.
  • Strong computer and internet skills, including Microsoft Office suite (Excel, Word, etc.)
  • Exemplary communication and interpersonal skills and the demonstrated ability to interact professionally with multiple constituencies, using tact and diplomacy, both face-to-face and over the telephone.

 PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS

Operates standard office equipment including computers at efficient speed; and move throughout the municipal building which may include flights of stairs. Lifts/moves objects weighing up to 10-20 pounds. Most duties are performed in normal office setting or at meetings, but some fieldwork is required from time to time.
