Position Summary:
The Executive Administrator plays a critical role managing the day-to-day effectiveness of Downtown Pittsfield, Inc. (DPI), a multifaceted nonprofit membership organization serving as the downtown association for Pittsfield, Massachusetts in collaboration with the Executive Director and Board of Directors.

The Executive Administrator is a motivated and detail-oriented team builder who strives to make a substantial impact. He/She/They will gain a broad set of experiences relevant to nonprofit leadership while supporting Downtown Pittsfield Inc.’s ability to service its members and grow its impact.

Responsibilities:
• Serve as primary point of contact for DPI by managing phone, email, and visitor inquiries.
• Provide administrative support to Executive Director.
• Manage vendor relationships.
• Maintain and administer platforms and systems including the ChamberMaster database.
• Contribute to the development and integration of new processes as appropriate.
• Coordinate day-to-day financial operations inlcuding processing deposits, payables, and invoices using Quickbooks.

Requirements:
Required Qualifications:
• Strong commitment to DPI’s mission and values.
• High levels of professional effectiveness, collaboration, integrity, optimism, and energy
• Detail oriented, highly organized, and professional
• Self-starter, fast learner and adaptable with ability to work independently and as part of a team
• Proficient in Microsoft Office.
• Excellent verbal and written communication skills.
• Experience with event planning, administration, and office management.
• Relationship development and management skills; orientation to network-building.
• Valid driver’s license with regular access to a vehicle; willingness to travel to local sites for program activities.

Preferred Qualifications
• Comfort with cloud technology; experience with ChamberMaster or related member membership/donor management systems.
• Experience using QuickBooks.
• 2-4 years of work experience and Bachelor’s degree.
