We seek a proactive and experienced Sr. Manager, Public Initiatives to join our dynamic team. This role focuses on action-oriented management and coordination, ensuring projects are executed effectively and align with our strategic goals.
Role Overview: The Sr. Manager, Public Initiatives will work with the Director of Public Initiatives and Real Estate to oversee and manage a diverse range of public projects, balancing responsibilities across real estate and government sectors. This position demands strong project management skills, community engagement experience, a solid background in real estate and/or urban planning, and an ability to maintain productive working relationships with city staff and others in government. This position requires access to and documentation of confidential information within the Director’s Office. The ideal candidate will be highly organized, excel in preparing various detailed materials and documents, managing costs and schedules, and supporting both strategic and administrative tasks.
Key Responsibilities include but are not exclusive to:
1. Project Management:
- Oversee project timelines, budgets, and deliverables to ensure timely and within-budget completion relating to MASS MoCA’s placemaking initiatives, to include: Creative Campus, artist housing, North Adams Adventure Trail, Hoosic River Flood Chutes, and Reconnecting Communities.
- Coordinate with internal teams, consultants, and external stakeholders to maintain project momentum, alignment and ensure deadlines are tracked and met.
- Conduct feasibility assessments and triage opportunities for real estate and urban/civic strategic initiatives in alignment with MASS MoCA’s 2024-2030 Strategic Plan.
2. Executive Level Administrative Support:
- Oversee documentation and reporting for departmental initiatives, maintaining strict confidentiality while executing responsibilities with independent judgment.
- Assist and act in a confidential capacity to the management of personnel, in the application of institutional policy, and procedures.
- Draft, prepare, and review comprehensive materials including briefs, presentations, one-sheets, feasibility documents, RFPs, grant narratives and supporting documentation, and financial summaries.
- Generate and maintain accurate documentation, including notes and records, related to project progress, budgets, and key milestones.
- Prepare and provide data, analytics and documents for required reporting.
- Identify and assess public funding opportunities, assist in grant writing, and manage grant documentation and compliance.
- Provide comprehensive administrative support to ensure smooth project execution.
- Develop and maintain detailed schedules for projects, ensuring all deadlines, development milestones, and tasks are met.
- Track and manage project costs, addressing any issues or discrepancies promptly.
- Prepare meeting materials, presentations, and other communication tools for internal and external audiences.
- Support the development of strategic documents and reports.
3. City and Community Relationship Management:
- Shape the communications needs and applicable presentation materials to effectively convey pertinent information applicable to North Adams and MASS MoCA placemaking initiatives designed for consultative community feedback, awareness building, and constructive input.
- Facilitate engagement with North Adams residents, business owners, community partners, and stakeholders, through organizing meetings and consultations to share materials and information
- Advise and support community round tables, data gathering, and facilitate follow up.
- Cultivate and maintain strong relationships with North Adams city officials, as well as community partners, and other government officials, representing MASS MoCA at meetings and public forums to effectively communicate project updates and objectives
