Client Relationship & Administrative Coordinator

Job Type: Direct Hire

Location: Pittsfield, MA

Pay: $45-60k, depending on experience

Hours: 8:30a-5p

TEC is recruiting for a professional Client Relationship & Administrative Coordinator to join a local family-owned investment firm. This candidate must be extremely organized, customer-focused, have strong communication and problem-solving skills, and be willing to learn and grow in this industry. This candidate must also be proficient in computer applications such as Microsoft Excel, Word, and quick to learn proprietary databases. This is a high-valued member of this company and this candidate should be absolutely reliable.

Job Responsibilities:

  • Provide support to Financial Advisors to help clients achieve their long-term financial goals by assisting with client account management and administrative/operational tasks:
  • Client Account Management:
    • Deliver exceptional personalized service to ensure clients feel understood and informed
    • Handle all client inquiries, schedule meetings and maintain accurate records
    • Assist in the service of client accounts by opening new accounts, journaling/tracking money, sending through checks, wires, etc.
    • Actively listen for situations in the clients’ lives that may indicate a need for additional services now or potentially in the future
    • Process account paperwork and ensure proper documentation
  • Administrative/Operations:
    • Answer phone calls and emails in a professional and timely manner while also greeting clients in-office
    • Collaborate with team members to ensure smooth office operations
    • Perform data entry and pull reports on software to assist the Financial Advisors in decision making
    • Schedule and manage the office calendars
    • Take an active role in the annual business planning process to assist in developing strategies for the upcoming year
    • Support marketing initiatives and special projects for the firm
    • Take notes in meetings and distribute to the proper channels
    • Assist in scheduling meetings with clients with the Financial Advisors via in-person, phone or video calls
    • Work with staff to provide materials for meetings
    • Assist in other administrative tasks as assigned

Job Qualifications/Requirements:

  • Bachelor’s Degree in a related field highly preferred, but not required
  • 3 years’ experience in an administrative and professional office role highly preferred, but not required
  • Experience in customer service required
  • Must have excellent communication skills in all mediums – over the phone, via professional emails and in person to deepen client relationships
  • Must have strong organizational and time management skills; highly self-motivated and energetic, ability to show initiative and work independently
  • Must have the ability to handle simultaneous, multiple projects, work flexibly in a team environment, and collaborate with coworkers
  • Possess basic math skills
  • Must be technologically savvy and computer literate
  • Must be wanting to learn and grow
  • Have the ability to pass a background check and financial wellness check
